Exchange Resource Manager manages hundreds of corporate resources worldwide in less than two months

Simpler-Webb, Inc. announced that in less than two months, hundreds of resource accounts around the world are now managed by Exchange Resource Manager (ERM). ERM is a supported, Exchange-based solution giving IT organizations resource management capabilities from a centralized location at a relatively low-cost. Since its official release in early June 2003, a variety of customers worldwide have purchased ERM to manage resources, such as conference rooms, video conferencing equipment, and audio equipment.

Scheduling resources is a complex and costly task. Major issues facing organizations using Exchange without a resource management solution, such as ERM, include manual meeting request processing, double booking, and resource scheduling errors by the end-user. Simpler-Webb Introduces a Centralized, Easy-to-Use Resource Management Solution for Microsoft Exchange Environments

Simpler-Webb, Inc. announced today the introduction of Exchange Resource Manager 1.0 (ERM). ERM is a server-based resource management extension for Microsoft Exchange. ERM gives IT departments a quick, out-of-the-box solution to better manage corporate rooms and resources on the Exchange server. It is compatible with Exchange 2000 and the upcoming Exchange 2003.

Corporate resources, such as conference rooms, laptops, and projectors, are an integral part of an organization?s daily business activities. Scheduling these resources is a complex and costly task in many organizations. ?Booking and managing resources needs to be more intelligent, more efficient and less complicated? says Andy Webb, President of Simpler-Webb. ?Companies have spent significant dollars implementing Exchange and are now seeking ways to better utilize it for their business environment. Exchange Resource Manager released

Exchange 2000 administrators have been waiting a long time for a comprehensive solution for managing resource calendars, those ubiquitous Calendar folders in mailboxes created specifically for booking conference rooms, equipment, and other company resources. While an open-source event sink that automatically accepts appointments for resource calendars has been available from http://autoaccept-sink.sourceforge.net/, the most anticipated tool has been Exchange Resource Manager (ERM), which Simpler-Webb showed at the MEC conference last October.

ERM, now available at http://www.swinc.com/erm/, automatically accepts or declines meetings for the mailboxes you designate as resources, but it also adds many features that administrators and users alike have asked for. Some of the highlights:

• Users do not have to designate the resource as a "resource attendee" in their meeting requests, thus simplifying the meeting request process.
• Administrators can customize the message text for the responses that go back to the meeting organizer when a meeting is accepted, canceled, or declined. Each resource can have its own customized messages. For example, you could suggest to users that they book an alternative, similarly sized conference room when their first choice is unavailable.
• Administrators can set restrictions on who can book each resource, whether recurring meetings are allowed, and if so, for how many months in advance.
• Canceled meetings can be either removed completely or kept in the resource calendar. Resource calendar appointments can be customized to automatically include the organizer's name in the subject line.

Q We're beginning to use Exchange and Outlook for conference room scheduling. Thus far, using Outlook doesn't seem like an efficient way to do this. I thought there was a script we could install that would handle this.

Ben: A product from Simpler-Webb called Exchange Resource Manager (ERM) automates and simplifies this process (see Resources). Unlike the Exchange 5.5 solution, this one uses Exchange 2000 Information Store event sinks. You configure ERM centrally using a graphical user interface, rather than installing a separate script or logging on to each resource mailbox. Other benefits: ERM supports direct booking; you can configure custom messages that can be used to reply to resource requests; and users need much less handholding.
